I would have them mail it to my PO Box and would not provide a phone number. Or I would provide one of those free phone numbers through NetZero that only goes to voicemail.

I purchased a property out of state and hired a management company to take care of the day to day issues. While the management company has been responding to request and collecting rent, I would like to receive some feedback from the tenants on the service performed (maintenance calls and response times) on a quarterly basis.
How should I correspond with the tenants?
1.) Should I set up a P.O. Box in the state of the property in order to receive any tenant correspondence? (I’ll need someone to check the mail periodically); OR
2.) Should I send written letters and correspondence from the state that I reside?
3.) Either #1 or #2 – along with a cellphone number as a point of contact.
